How an after-hours answering service works
At closing time your line forwards to the answering service, which takes messages and passes urgent calls on. Decide your hours first: overnight cover usually costs more than evenings.
Tools our VAs use for this
An after-hours answering service answers your calls outside your opening hours, usually because you forward your line to it at closing time. It takes messages, handles simple requests and passes urgent calls to whoever is on call. Decide first which hours you actually need covered: early evening and Saturday cover is a different service from overnight cover. Price depends on those hours and on your call volume, and most providers quote rather than publish.

What an after-hours answering service is
An after-hours answering service is a team or a person who answers your business number when you are closed, in your business name, from the instructions you give. Some businesses use it every evening; others only at weekends, on bank holidays or during a holiday shutdown. We provide after-hours call answering as extended hours and weekend cover, at additional cost, on top of a dedicated receptionist's standard day of 9am to 5pm Monday to Friday.
After hours, out of hours and 24/7 compared
- After hours and out of hours usually mean the same thing: any time outside your normal opening hours, such as evenings, weekends and bank holidays. Check what each provider means, because some include overnight and some do not.
- Extended hours means cover that runs on past your normal close, or starts before you open.
- 24/7 means every hour of every day, including overnight. Ask whether a person answers overnight or an automated system does.
How calls are forwarded to the service
You set your phone system to forward calls at a chosen time, or to forward when the line is not answered. Callers ring the number they already know. When you open again, the forwarding switches off. Most phone systems can do this on a schedule, so nobody has to remember. If your daytime calls and messages need handling too, consider a customer support VA.
How out-of-hours calls are handled
- At closing time your line forwards to the service.
- The call is answered with your greeting. The person answering identifies the caller and the reason.
- The call is handled by your rules: a message taken, an appointment booked, a simple question answered, or the call marked as urgent.
- Urgent calls are passed on to whoever is on call, by phone first and then by text or email if they do not answer.
- Messages are delivered at once or in a summary for the morning, whichever you choose. Our guide to the message taking service covers what a good message contains.
- When you open, forwarding stops and you start the day with a list of every call. For replying to customers in writing afterwards, see our customer service email templates for ecommerce.

What counts as urgent overnight
Write it down. A short list of what is urgent (a tenant with no heating, a patient with a problem after treatment, a customer whose delivery has failed), who gets the call, in what order, and what happens if nobody answers. Everything not on the list waits for the morning summary. Without this, the person answering has to guess.
Which businesses need out-of-hours cover
Businesses that need out-of-hours cover include those whose customers ring when they are free, such as trades, letting and property management, clinics and salons, and anyone selling to the public. Businesses where some calls are genuinely urgent. And small teams who cannot keep a mobile on all evening.
The limit is that an answering service can only act on what you have told it. If your out-of-hours calls need a decision only you can make, the service will take a message and pass it on, and the caller still waits for you.
Types of out-of-hours service
Out-of-hours services come in three types: a live person, automated or AI answering, and hybrid or overflow cover. A live person, from a pooled team or a dedicated receptionist, who takes the call in conversation. This suits callers who need to explain something.
Automated or AI answering, which greets callers, offers options and records messages without a person. It can run all night at low cost but cannot judge urgency the way a person can. Our guide to AI receptionist vs human receptionist sets out that choice.
Hybrid and overflow, where a person covers the evening and an automated system takes over overnight, or where the service only answers when your own team cannot. Our guide to round-the-clock live chat support covers the same question for website chat.
Costs and pricing models
Most after-hours answering providers charge through a monthly plan, per call, per minute or by the hour for a dedicated person, and there is no reliable published UK average.
How providers price it
Most charge in one of four ways: a monthly plan with a set number of calls or minutes, a charge per call, a charge per minute, or an hourly rate for a dedicated person. Overnight cover usually costs more to provide than evening cover, so expect it to cost more to buy.
Why many providers quote
Out-of-hours cover varies so much (a few evening calls, or every hour of every night) that many providers ask for your call volume and hours before they price it. Give them a fortnight of your real out-of-hours call log, and ask each quote to include set-up fees, overnight charges and charges for unwanted calls. Our guide to virtual receptionist pricing UK explains the models.
Hours, contracts and data protection
Evenings, weekends and bank holidays
Ask exactly which hours are covered, whether bank holidays are included, and whether the price changes for them.

Contract length and notice period
Ask for the minimum term, the notice period and whether you can change your hours as the seasons change. A seasonal business may need more cover in winter than in summer.
Caller information and data protection
The service hears and records your callers' personal details on your behalf. The ICO's guidance on what needs to be included in the contract between a business and a processor sets out the terms that contract must cover under UK GDPR, including documented instructions, confidentiality and security. Ask for the provider's processor contract before calls are forwarded. This is general information, not legal advice.
How to choose an out-of-hours service
Start with your own call log: when out-of-hours calls arrive and how many are urgent. Then shortlist services that cover those hours with a live person if your callers need one. Our guide to the best answering service for small business has a full list of questions to ask any provider.
An answering machine records a message and does nothing else. A call centre usually handles high volumes for large organisations. An answering service sits between them: a person who answers in your name and acts on your rules.
Where a virtual assistant fits, and where it does not
Ant Assist provides one dedicated receptionist for your business, never shared with another client, working from Ant Assist's own managed office in Cairo under a UK-managed service. Standard cover is UK business hours, 9am to 5pm Monday to Friday. Extended hours and weekend cover are available at additional cost on customer service, agreed with you during onboarding. That suits a business that wants the same person on the line into the early evening or on a Saturday. That receptionist works as a dedicated customer service assistant for your business.
Ant Assist is not an overnight or 24/7 service. If you need a person answering every hour of every night, choose a provider that runs a 24/7 service.
The standard day starts at £5 per hour on the introductory rate for the first 6 months on the Entry tier (3 months on Mid, 1 month on Expert); after that, customer service Entry is £5.95 per hour full time or £6.50 per hour part time. Use the calculator for your standard hours, and ask us for a quote on extended or weekend cover.
