Admin VA · Inbox and Email Management

Inbox Management Virtual Assistant: a dedicated inbox and email VA from £5 per hour

Hire an inbox management virtual assistant who works for your business alone. Your VA triages every message, drafts or sends the replies, chases what is waiting on someone else and keeps the shared inbox answered, from our managed office in Cairo, on your working hours, with a UK team supervising quality. One named person who learns your tone and your rules and owns the inbox end to end, not a temp who leaves with the knowledge and not a freelancer working from shared credentials. It is the inbox half of our virtual admin assistant service, from £5 per hour on the entry rate.

What They Handle

What an inbox management virtual assistant handles each week

Inbox triage

Sorts every incoming message by what it needs: your decision, a reply from your VA, a task for someone else, filing or the bin. What needs you reaches you in one short list, not in a scroll.

Drafted and sent replies

Drafts replies in your voice for your approval, and sends the routine ones independently within the limits you set: confirmations, acknowledgements, standard answers, scheduling.

Filters, labels and unsubscribes

Builds and maintains the filters and labels that keep the inbox readable, unsubscribes from noise and keeps the newsletters you actually read in one place.

Follow-ups and chasing

Keeps a list of every message waiting on someone else, chases at the interval you agree and tells you when a chase has failed and needs your name behind it.

Calendar management

Turns email requests into booked meetings, handles the reschedules and sends prep information ahead of each meeting, so scheduling never bounces back to you.

Shared inbox and info@ cover

Runs your shared or info@ inbox: answers what can be answered, routes the rest to the right person and makes sure nothing sits unanswered past the window you set.

Different stack? These are examples. Your VA is trained on your tools and your ways of working during onboarding and works inside your accounts, not ours.

Which model

A dedicated inbox VA compared with a temp or a freelancer with shared access

An inbox is the most personal system in a business. Handing it to a temp means re-explaining your tone, your customers and your rules every few months, and a temp's judgement leaves with them. Handing it to a freelancer usually means sharing a password, which is a security problem before it is anything else, and a freelancer with several clients is not in your inbox when the message that matters arrives.

A dedicated inbox management VA is one person, in your inbox every working day, with access through a password manager you control. They learn your voice from your sent mail, they know which sender is a key client and which is a cold pitch, and the rules they work to are written down and reviewed with you. The inbox becomes something you check, not something you carry.

Who It's For

Who an inbox management virtual assistant is built for

Founders and directors who run the business from the inbox

When staff, customers and suppliers all land in one place, nothing gets the attention it deserves. Your VA triages, drafts, chases and files, and you see only the decisions.

Consultants, advisers and partners who bill by the hour

Every hour reading and replying is an hour not billed. A dedicated VA at £5 per hour handles the correspondence, the scheduling and the chasing.

Small teams with a shared inbox nobody owns

Sales@, info@, support@: a shared inbox with no owner is a queue of unanswered messages. A VA gives it one owner and a response window.

Anyone returning to an inbox that has got away from them

After leave, a launch or a busy season, the backlog is the problem. Your VA clears it to zero in the first weeks and then keeps it there.

Cost Comparison

What an inbox management virtual assistant costs in the UK

The entry rate is £5 per hour for the first 6 months on the Entry tier. It covers your dedicated VA's time, our office facilities in Cairo, and the supervision and management that keep quality up. After the promotion, the admin rate card applies: £6.30 per hour full time on the Entry tier (160 hours a month, £1,008) or £6.50 per hour part time (80 hours a month, £520). Mid and Expert tiers, for VAs with longer experience, are £7.25 and £7.88 per hour full time.

Set that against a UK in-house admin hire once salary, employer National Insurance, pension, holiday and a desk are counted; the comparison card on this page shows the calculator's model, and the full calculator gives your exact figures for your hours.

How to hire an inbox management VA: from first call to an inbox you only check

1
First call
A 15-minute call about how your inbox works today: the volume, the senders who matter, the replies you send again and again, the shared inboxes and the hours you need cover for. If an inbox is not the problem, we say so here.
2
Matching
We select a VA from our in-house team for your industry and your tone, and introduce them to you.
3
Onboarding
Together we write the inbox rules: which messages your VA answers without you, which come to you with a draft, which senders are never kept waiting and what tone you write in. Access is set up through a password manager, never a shared password.
4
Active support
Most clients have their VA active within 5 to 7 working days of signing up. The first weeks run on drafts you approve; ownership widens as the rules prove themselves.
5
Ongoing management
A UK team supervises quality, reviews sent mail with your VA, and adjusts hours and scope as your business changes.
Why Managed

Why a managed inbox VA beats a temp or a freelancer with shared access

Managed, not just placed.
Your VA is recruited, trained and supervised from our own in-house office. Not a freelancer platform, not an agency temp.
Your voice, written down.
Tone, rules and escalation paths are documented in onboarding and reviewed, so the inbox reads like you whoever is on leave.
Replaceable without restart cost.
If the fit is wrong, we replace the VA and carry the handover. No re-recruitment, no starting from zero.
No NI, pension, or holiday overhead.
One hourly rate; the employment costs sit with us.
Your data stays yours.
Every VA signs an NDA and a data-processing agreement, works through password managers, and you can revoke access at any time.
Rolling monthly.
Scale hours up or down, pause, or cancel with 30 days' notice.

FAQ

Common questions about hiring an inbox management virtual assistant

Your VA monitors your inbox, applies labels and filters, drafts responses for your approval (or sends routine replies independently within agreed parameters), unsubscribes from noise, and ensures nothing important goes unread. Most clients go from an overwhelming inbox to a manageable one within the first week.

Yes. Our admin VAs are comfortable scheduling across time zones using tools like Calendly, Google Calendar and Outlook. They handle the back-and-forth of finding mutually available slots, block focus time, and send prep information ahead of meetings.

All Ant Assist VAs sign NDAs and data processing agreements as part of their contracts. Access to your systems is managed via password managers (we recommend 1Password or Bitwarden) so credentials are never shared in plain text. You retain control and can revoke access instantly.

Both work well. Some clients have a fixed daily workflow their VA follows. Others send tasks throughout the day via Slack or a task manager. We help you find the communication rhythm that suits you during onboarding.

No long-term contract is required. We operate on a rolling monthly basis. You can scale hours up or down, pause, or cancel with 30 days' notice. Admin VAs tend to become deeply embedded in how founders work, and most clients stay long-term.

Ant Assist can replace the VA. We take responsibility for quality and will match you with a more suitable candidate rather than leaving you stuck with an underperforming arrangement.
