How to hire a VA for customer support and live chat
The short version of the hiring sequence for a customer service virtual assistant who will answer your tickets and your chat.
In four steps: write down the channels, the hours and the scope; choose between an in-house hire, a freelancer, an agency queue and a dedicated managed VA; test candidates on real tickets and a live chat rather than an interview; and run the first week on approval before widening ownership. Start with the scope. Which channels: email and helpdesk, live chat, phone, or all three. Which hours: most clients start with UK business hours, with extended hours and weekend cover available at additional cost. Which decisions the VA may take alone: refunds and exchanges within your policy, for example, are handled end to end, and anything outside their authority is escalated to you with the context written up. Write the tone you want and the scenarios that come up most; those become the onboarding document.
Then the model. An in-house support hire costs a UK salary plus employer National Insurance, pension, holiday and a desk, and covers one shift. A freelancer suits overflow, not a channel that must be covered every day. An agency queue gives you rotating agents who learn your products every time. Test on the work. Give a candidate three real tickets, one of them angry, and a live chat transcript with a visitor who is not yet a customer, and ask for the replies in your tone. You are testing written English you would send under your own name, policy discipline and whether the candidate knows where to stop and escalate.
