FAQS · LEAD GENERATION VA

How does a VA report lead generation results?

The short answer on what you will actually see each week from a dedicated lead generation virtual assistant.

Answer

From your CRM, on a rhythm you set: a short daily line and a weekly summary of what was done and what it produced. Prospects researched and verified, sequences running and their replies, LinkedIn activity, meetings booked and confirmed, deals moved between stages, and anything waiting on you. Because the work is logged in your own CRM, every number in the report is one you can check yourself.

The daily line is a few sentences at the end of the day: how many prospects were researched against your profile, which sequences went out and to whom, what came back, which meetings were booked and which need confirming, and what needs your decision. The weekly summary steps back: the pipeline by stage, the segments that are replying and the ones that are not, the meetings booked this week against last, the follow-ups due, and one recommendation, usually about the targeting.

The reporting is only as good as the CRM behind it, which is why CRM hygiene is one of the six tasks a lead generation VA owns from day one: contact details updated, every activity logged, deals moved between stages, duplicates removed. Our VAs work in HubSpot, Pipedrive, Salesforce and Zoho, alongside outreach platforms like Apollo, Lemlist, Mailshake and Instantly, and if you do not have a CRM yet, your VA can set up a basic one during onboarding, HubSpot's free tier being a popular starting point, and own it from the first day. The report then comes from the same pipeline view you can open at any time.

Quality is reported as well as volume. Before any prospecting starts, we work with you to define your ideal customer profile; your VA only researches and contacts prospects who match it, you review and approve the targeting criteria up front, and the weekly summary shows response rates by segment so the profile is refined together from what actually comes back. A report that says "two hundred emails sent" tells you nothing; a report that says which segment booked meetings tells you where to spend next week.

At Ant Assist the person writing the report is one named, dedicated VA, working under your brand in your tools on UK hours, recruited and supervised from our own in-house office in Cairo with a UK team supervising quality. The entry rate is £5 per hour for the first 6 months on the Entry tier; after the promotion, the lead generation rate card applies from £5.50 per hour full time. Most clients have their VA active within 5 to 7 working days of signing up and at full productivity within the first two weeks.

The meetings are where reporting matters most, and the appointment setting virtual assistant page describes how bookings, confirmations and no-shows are tracked. For the list-building side and how it is checked, read lead list building by a virtual assistant.
