# The cost of not hiring an e-commerce virtual assistant

Running the store yourself costs hours, errors, growth and a peak season you only survive. The biggest cost is invisible: the products and channels you never launch.

In short

Not hiring an [e-commerce VA](https://ant-assist.com/services/ecommerce/) costs you in four currencies: hours, errors, growth and peaks. The daily operations take the time of the person whose time is the store's most expensive, a stretched owner makes mistakes that customers and marketplaces price, new products and channels never happen, and the busy season becomes one you survive.

A dedicated e-commerce VA costs a known hourly rate against all four; the [calculator](https://ant-assist.com/calculator/) shows the comparison for your hours.

## What running the store alone really costs

This page does not invent figures. It does not claim how much a stock-out costs your store or what an hour of your time is worth, because only you know those, and any number we put here would be marketing. What it does is name each cost so you can put your own figure against it, and then give you the one figure we can state exactly, which is what a VA costs. If you want the line-by-line comparison against a UK employee, read [how much a virtual assistant costs in the UK](https://ant-assist.com/resources/virtual-assistant-cost-uk/); this page is about the cost of the alternative most owners are actually living with, which is doing it themselves.

## Where a store owner's week goes

Most store owners' weeks go on the same six blocks of daily operations, none of which needs the founder. Write down last week. Most owners who do find the same six blocks: answering customer messages and reviews; processing orders, updating shipping and chasing couriers; handling returns, exchanges and refunds; fixing and adding listings; checking stock and chasing suppliers; and the small marketplace housekeeping that Amazon and eBay demand daily. None of those blocks needs the founder. All of them need doing every day, which is why they win: the product photography, the new channel, the email campaign and the supplier negotiation are important and postponable, and the orders are not. Our guide to [e-commerce tasks to delegate](https://ant-assist.com/resources/ecommerce-tasks-to-delegate/) puts them in a sensible order.

Six daily blocks fill the week; the growth work gets pushed back.

The cost is not the hours themselves but who is spending them. An entry-rate VA does that list at £5 per hour. When the founder does it, the store pays the founder's rate, whatever that is, for work that the market prices at the entry rate, and it pays that premium every day.

## Errors a stretched store operation makes

The errors a stretched store operation makes are late replies, stock-outs, wrong parcels, returns outside the policy and listings nobody fixed, and each has a price.

**Late replies.** Marketplace messages have response windows, and reviews have a public audience. A reply that waits until the evening costs a rating, and ratings cost sales for months.

**The stock-out.** The bestseller sells out because the spreadsheet was updated on Sunday and the run happened on Tuesday. The cost is every sale not made while the line is out, plus the ranking the listing loses while it is gone, plus the reorder that now has to be expedited.

**The wrong parcel.** Orders processed in a hurry go to the old address, ship the wrong variant or miss the note. The cost is the replacement, the second postage, the refund and the review.

**Returns outside the policy.** A refund given to end an argument, a return accepted past the window because there was no time to check. Each is small; the pattern is a margin leak nobody measures.

**The listing nobody fixed.** The wrong attribute, the missing image, the variant marked available that is not. Listings that are almost right convert almost as well, and the gap compounds across a catalogue.

A dedicated VA does not remove errors; it gives each of these tasks an owner with time to do them properly, a policy to follow and a daily line that says what was done, which is where errors get caught. Part 5

## Missed growth and the peak season multiplier

Missed growth is the most expensive cost of running store operations yourself, and it is invisible because it is the absence of something. The new marketplace you did not open because the current ones already take the day. The product range you did not launch because the listings would have taken a week you did not have. The email campaign, the wholesale enquiry, the supplier renegotiation, the ad account that runs on last quarter's settings. Every one is the owner's job, and every one is postponed by the operations that a VA could be doing. When owners describe what changed after hiring, they rarely talk about the tasks they handed over; they talk about the work they finally did.

The hours, the errors and the missed growth all multiply in the peak. Orders and messages rise together, returns follow in January, and the owner who was coping in September is not coping in November. A fixed in-house hire is the wrong shape: too small for the peak, too large for the quiet months. A dedicated VA is hired by the hour and scaled up for the peak and back down afterwards without penalty, which is what makes the season your best quarter rather than the one you survive. Most clients plan their seasonal cover a few weeks ahead so the hours are in place when the orders arrive.

## What an e-commerce VA costs instead

A managed e-commerce VA from Ant Assist starts at £5 per hour on the entry rate: the first 6 months on the Entry tier, 3 months on Mid, 1 month on Expert. After the promotion, the e-commerce rate card applies: £6.50 per hour full time on the Entry tier (160 hours a month, £1,040) or £6.80 per hour part time (80 hours a month, £544), with Mid at £7.48 and Expert at £8.13 per hour full time for assistants with longer experience. There are no platform fees on top, and the rate includes the assistant's time, our office facilities in Cairo, and the supervision and management that keep quality up.

That is the whole of the known cost. Set it against your own figures for the four currencies above, or against a UK in-house hire once salary, employer National Insurance, pension, holiday and a desk are counted, which the calculator models for your hours. Hours and tier set the price: a part-time Entry VA covers messages, orders and returns for most single-channel stores; a full-time role covers the whole list across several marketplaces, and the Amazon work is described on the [Amazon virtual assistant UK](https://ant-assist.com/services/ecommerce/amazon/) page and the catalogue work on the product listing virtual assistant page.

What the £5/hour entry rate includes

- Dedicated VA, never shared
- UK-hour aligned support
- Management and supervision included
- Recruitment and onboarding included
- Office infrastructure included
- VA replacement available
- No NI, pension, or holiday costs
- 3-month probation, no penalty to leave

## Handing store operations to a virtual assistant

A [dedicated e-commerce VA](https://ant-assist.com/services/ecommerce/) fits the store whose owner is still in the admin every day and whose peaks make a fixed hire the wrong shape. One named person takes the six blocks above, on your hours, to your policies, with a UK team supervising quality alongside you. If the fit is wrong, we replace the VA and carry the handover, with no re-recruitment and no restart from zero. It does not fit a store that needs a strategist or a marketer; those are different hires, and a VA is what gives you the time to make them. FAQ

## Questions about running a store solo

### What is the cost of not hiring an e-commerce VA?

The hours you spend on orders, messages, stock and listings instead of on the product and the marketing, the sales lost when a bestseller runs out or a listing sits suppressed, the customers lost to slow replies, and the seller metrics that slip when the queue is worked at midnight. None of it appears on an invoice, which is why it is easy to carry for a year.

### How do I put a number on it for my own store?

Count the hours a week you spend on operations, the stock-outs and suppressed listings in the last quarter, and the messages that waited more than a day. Then compare the hours with a dedicated VA from £5 per hour, and the stock-outs with what a reorder point would have caught. The calculator on this site gives the labour comparison for your hours.

### Is doing it myself really more expensive than paying someone?

Usually, once the owner's hour is valued at what it earns elsewhere. Owner time spent processing orders is not spent launching products or improving conversion, and at volume the operations take the whole day. The question is not whether the work costs money but who is doing it and what they are not doing instead.

### What breaks first when a store owner is doing everything?

Response times, then stock accuracy, then listing quality. Marketplaces measure the first, customers notice the second, and search notices the third. A dedicated VA takes the daily operations before those three start to slip, which is cheaper than recovering a seller rating afterwards.

### When is it too early to hire an e-commerce VA?

When there is no daily, repeatable work yet. If orders and messages take under an hour a day with no peaks, keep going. Once operations take a fixed part of every day, or the peak season needs cover you cannot give it, the cost of waiting is already higher than a part-time VA at 80 hours a month.
