In short

The best cold calling tips come down to this: call a well-built list of the right people, research each one for a minute before you dial, open by saying who you are and why you are calling them, ask before you pitch, treat objections as questions, ask for one small next step, and log the outcome straight away. Before any of it, screen your numbers against the TPS and CTPS.

Part 2

## What cold calling is and when it works

Cold calling is phoning a prospect who has had no previous contact with your business, to start a sales conversation. In B2B, that usually means calling a named decision-maker to book a meeting. Our guide [what is cold calling](https://ant-assist.com/resources/what-is-cold-calling/) covers the definition, examples and how it compares with warm calling. The tips below also help if you plan to hand the calls to a [lead generation virtual assistant](https://ant-assist.com/services/lead-generation/).

It works best when you sell something with a clear business problem behind it, a list of companies you can name, and a deal worth a conversation. It works badly when the list is wrong, the offer is vague or the calls happen only when the diary is empty. If you would rather have a dedicated caller do it for you, our [outsourced cold calling](https://ant-assist.com/services/lead-generation/outsourced-cold-calling/) page shows these cold calling tips put into practice, every working day.

Part 3

## Preparing for the call

Prepare for a cold call by building a targeted call list, screening numbers against TPS and CTPS, setting one goal, researching for a minute and blocking the time. Most failed calls are lost before the phone rings.

The five things to have ready before you dial.

### Build a call list

Decide who you are calling: the industry, the size of business, the area and, above all, the role. A list of "companies in Manchester" is not a list; "practice managers at dental practices in Greater Manchester" is. Check that each row has the person's name, role, company and a working number, and remove duplicates. Our guide to [lead list building and CRM data](https://ant-assist.com/resources/lead-list-building-crm-data/) covers sourcing and keeping a list clean.

### Check TPS and CTPS first

The ICO explains that you must screen numbers against the Telephone Preference Service (TPS) and the Corporate Telephone Preference Service (CTPS) before live marketing calls, and that every call must say who is calling and display a number ( [ICO guidance on live calls](https://ico.org.uk/for-organisations/direct-marketing-and-privacy-and-electronic-communications/guidance-on-direct-marketing-using-live-calls/what-are-the-rules-on-live-direct-marketing-calls/)). Sole traders and some partnerships count as individuals, so screen against both registers. The full B2B rules and a checklist are in [is cold calling legal in the UK](https://ant-assist.com/resources/is-cold-calling-legal-uk/).

### Set one goal for the call

Decide what a good outcome is before you dial. For most B2B calls it is a booked meeting with a date and time. A sale on the first call is rare; information alone is not enough. One goal keeps the call short and gives you something specific to ask for.

### Research for one minute

Look at the company's website and the person's LinkedIn profile. You are looking for one thing: a reason to call them in particular. A new office, a recent hire, a service they have just launched, a problem common in their sector. One relevant line beats five generic ones.

### Block the time

Put calling in the diary as a fixed block and protect it. Calls squeezed between other jobs get skipped. Have the list, the script and the CRM open before the block starts so you are dialling, not searching.

Part 4

## Opening the call

### The first few seconds

Speak a little more slowly than feels natural, and sound like a person rather than a recording. Use their name, say yours and the company's, and get to the point. Avoid "how are you today?" from a stranger: most people hear it as a sales opener and switch off.

### The reason for the call

Give an honest reason that connects to their world: "I'm calling because we work with practices on missed appointments, and I wanted to ask how you handle them at the moment." Then stop and let them answer. A clear reason earns you the next thirty seconds; a vague one ends the call.

### Asking permission

"Have you got a minute, or have I caught you at a bad time?" gives the person control and often buys you a fairer hearing. If it is a bad time, agree a better one and call back exactly then.

Part 5

## Handling objections and gatekeepers

Handle a cold call objection by answering it in one sentence, asking a question and listening, and handle a gatekeeper by being polite, clear and honest about who you want and why.

### Answering common objections

These are templates. Change the words so they sound like you.

- **"Just send me an email."** "Of course. So I send something useful rather than a brochure, can I ask one question about how you handle this today?"
- **"We already have a supplier."** "That makes sense, most people I speak to do. What would make it worth looking at an alternative, if anything?"
- **"Not interested."** "Understood. Is that because it's not a problem for you, or because the timing is wrong?"
- **"No budget."** "Fair enough. When do you usually review this kind of spend? I'll call back then rather than now."
- **"Who gave you my number?"**: Answer honestly, say where you found it, and offer to remove them if they prefer. If they ask not to be called again, log it on your do-not-call list that day.

An objection is usually a request for a reason to keep talking. Answer it in one sentence, ask a question, and listen. If the answer is a firm no, accept it politely and end the call. If you doubt the channel still works, [is cold calling dead](https://ant-assist.com/resources/is-cold-calling-dead/) weighs the evidence.

### Getting past a gatekeeper

Receptionists and assistants protect their colleagues' time. Be polite, be clear and be honest: say your name, your company and who you would like to speak to, and give the reason in one line. Ask for their help: "Who's the best person to speak to about this?" Ask for the direct line or the best time to call. Never pretend to be a client or a friend.

### Leaving a voicemail

Leave a short one, at most once or twice per prospect, and follow it with an email. A template to adapt:

"Hi \[name\], it's \[your name\] from \[company\]. I'm calling because \[one-line reason relevant to them\]. I'll send you a short email now, and I'll try you again on \[day\]. My number is \[number\]. Thanks."

Part 6

## Closing and next steps

### Booking the meeting

Ask for a specific time while you are both on the call: "Would Tuesday at 10 or Thursday afternoon work better?" Send the calendar invite before you hang up or straight after, with a line about what the meeting will cover. A meeting booked "sometime next week" rarely happens. For the whole booking routine, see [what appointment setting involves](https://ant-assist.com/resources/what-is-appointment-setting/).

### Following up

Log the call in your CRM within minutes: who you spoke to, what they said, the objection, the next step. If they asked for information, send it the same day. If the answer was "not now", set a reminder for the time they gave. Follow-up is where most of the value of a cold call is kept or lost.

Part 7

## A sample cold call script

A sample cold call script runs in six steps: opener, reason, permission, question, next step and close. A template, not a speech. Fill in the brackets and practise it out loud until it sounds like you.

[The six-step cold call script, objection answers, voicemail and a pre-call checklist in Word](https://ant-assist.com/assets/downloads/cold-calling-script-template.docx) (.docx, Word, 38 KB)

1. **Opener.** "Hi \[name\], it's \[your name\] from \[company\]."
2. **Reason.** "I'm calling because \[one line about a problem common to businesses like theirs, or something specific you found\]."
3. **Permission.** "Have you got a minute, or is now a bad time?"
4. **Question.** "How do you handle \[the problem\] at the moment?" Then one or two follow-ups based on the answer.
5. **Next step.** "It sounds like it might be worth a short call with \[colleague\] to show you how we do it. Would \[day, time\] or \[day, time\] suit you better?"
6. **Close.**: Confirm the time, the email address for the invite, and thank them.

The script above as a card: one line for each part of the call.

These six steps also answer the question people often ask about "the 5 stages of cold calling": there is no single official list, but every version covers an opener, a reason, questions, objections and a next step.

The script as six short moves. Fill the brackets in your own words.

Part 8

## Common mistakes and call reluctance

### Mistakes that cost meetings

- Pitching before asking a single question.
- Reading a script word for word.
- Calling the wrong role, or calling without a name.
- Asking for too much on the first call.
- Not logging the outcome, so the next call starts from nothing.
- Giving up after one attempt when the person simply did not pick up.

### Overcoming call reluctance

Call reluctance is normal, even among experienced callers. It helps to set a target for activity, such as a number of dials in a block, rather than for results, because you control one and not the other. Start each session with an easy call to warm up. Stand up while you call. Keep a short note of what went well each day. Remember that most rejections are about timing or priorities, not about you. And make it social where you can: calling alongside someone, or sharing the day's best and worst call, turns a lonely task into a team one.

### What is the 3-3-3 rule in sales?

The name is used for different rules of thumb by different sales trainers, and we have not found one authoritative definition, so we do not state one here. If you meet a rule like this, treat it as a habit to test against your own results rather than a standard.

Part 9

## Measuring results

### Metrics to track

Track a few things every week: dials made, conversations held, meetings booked and meetings that took place. Those give you a connect rate, a conversation-to-meeting rate and a show rate, which tell you whether the problem is the list, the opener or the follow-up. Our guide to [cold calling success rates](https://ant-assist.com/resources/cold-calling-success-rates/) explains how to define and measure each one and set your own baseline. If someone else is making the calls, [how does a VA report lead generation results](https://ant-assist.com/faqs/how-does-a-va-report-lead-generation-results/) sets out the reporting to expect.

Part 10

## Channels to pair with your calls

### Email, LinkedIn and referrals

Cold email, LinkedIn outreach and referrals are the usual channels to pair with cold calling, and most B2B teams now mix them: a connection request, a message, then a call to those who engaged. The comparison of outbound and inbound methods is in [inbound vs outbound lead generation](https://ant-assist.com/resources/inbound-vs-outbound-lead-generation/), and LinkedIn messages you can adapt are in our [LinkedIn outreach message templates](https://ant-assist.com/resources/linkedin-outreach-message-templates/).

Part 11

## Handing call lists to an outsourced caller

Tips help only if the calls get made. For many small firms the real problem is time: the owner knows how to sell but cannot protect a calling block every day. That is when outsourcing makes sense. A [lead generation VA](https://ant-assist.com/services/lead-generation/) can then protect that calling block for you.

### In-house reps versus a managed B2B team

An in-house rep costs a salary, recruitment time and management. A managed caller arrives trained, with supervision included. At Ant Assist your lead generation VA is one dedicated person, never shared, working full time from our own managed office in Cairo on UK business hours, 9am to 5pm Monday to Friday, recruited, managed and supervised there; not freelancers, not AI. You can start at 20 hours a week or take a full 40-hour VA. The rate is £5 per hour for the first 6 months on the Entry tier (3 months on Mid, 1 month on Expert); after the promotion, lead generation Entry is £5.50 per hour full time (£880 a month for 160 hours) or £6.50 per hour part time (£520 a month for 80 hours). FAQ

## Questions about making cold calls

### How do you handle objections in cold calling?

Listen to the whole objection, acknowledge it, answer in one sentence and ask a question that keeps the conversation going. Most objections are about timing or priorities. If the answer is a firm no, accept it and end the call politely.

### How can I make cold calling fun?

Make it a game you can win: set targets for activity, keep a tally, and reward yourself for completing a block rather than for results. Calling with a colleague, sharing stories from the day and celebrating each booked meeting helps too.

### Is cold calling illegal in the UK?

No. Most live B2B sales calls are legal, provided you screen numbers against the TPS and CTPS, say who is calling, display your number and stop calling anyone who asks. Our guide on the UK rules sets out the detail.

### What is the best time to make cold calls?

It depends on who you call. Owners of small businesses may pick up early or late in the day; office-based managers may be easier mid-morning. Test different slots, record the results and call when your own data says your prospects answer.

### How do you generate leads without cold calling?

Use the other outbound channels, email and LinkedIn, alongside inbound methods such as search, content and referrals. Most B2B firms get the best results by combining them rather than relying on one channel.
